01Who we are and what this policy covers
RUS Recruiting (“RUS,” “we,” “us” or “our”) is a staffing and recruiting firm headquartered at 11710 Plaza America Dr, Suite 2000, Reston, VA 20190. We place contract, contract-to-hire, full-time and executive professionals with employers across the United States. For the personal data described here, RUS is the “controller.”
This Privacy Policy explains how we collect, use, disclose and protect personal information through rusrecruiting.com (the “Site”), our forms, email, text messages and phone calls, and our recruiting and staffing services. It applies to job seekers and candidates, contract professionals during recruiting and onboarding, employers and their hiring contacts (“Clients”), and visitors to the Site.
It does not cover websites or services run by others that we link to. Information about RUS's own employees and contract professionals once they are employed is also covered by separate workplace notices provided at hire.
02Information we collect
What we collect depends on how you interact with us. We collect only what is reasonably necessary for the purposes described in this policy.
Contact and identity information. Name, email address, phone number, city and state, LinkedIn or portfolio links, and the preferences you share with us (for example, the type of work, schedule and pay range you want).
Professional and employment information. Your resume, work history, education, skills, licenses and certifications, references, interview notes, assessment results, and feedback from employers after interviews or assignments.
Job, assignment and worksite information. For roles we fill, details of the position and the worksite, such as the worksite address, schedule, supervisor contacts, site access and badge requirements, safety requirements, timesheets and hours worked. For Clients, this includes the job descriptions, headcount, budgets and timelines you share with us.
Photographs, video and media. Photos you include in a resume or profile, recordings of video interviews where we tell you in advance that a session will be recorded, and any images or documents you upload. We do not use your photograph or likeness in our marketing without your written consent.
Financial, payroll and insurance information. For contract professionals placed on our payroll: bank details for direct deposit, tax forms (such as Form W-4 or W-9), employment eligibility documents (Form I-9), benefits enrollment and insurance information, and workers' compensation or unemployment claim information. For Clients: billing contacts, purchase order details, credit references, payment records and certificates of insurance. We collect financial information through our secure onboarding and billing processes, never through website forms. Please do not send Social Security numbers, bank details or identity documents through the Site.
Screening and compliance information. With your separate written authorization, background check and other consumer reports, drug screening results, and verification of licenses, education and employment. Information you choose to give for equal employment opportunity reporting (such as gender, race or ethnicity, veteran or disability status) is voluntary, kept separately and is not used in hiring decisions. We also process requests for reasonable accommodation.
Communications. Messages, emails, text messages and call notes between you and RUS, and your communication preferences and consents.
Device and usage information. When you use the Site we automatically collect limited technical information such as IP address, browser and device type, pages viewed, the website or campaign that referred you, and the date and time of your visit. See “Cookies, security checks and similar technologies” below.
03Sensitive personal data
Some information processed in recruiting can be “sensitive data” under the Virginia Consumer Data Protection Act (“VCDPA”) and similar laws, such as racial or ethnic origin, religious beliefs, mental or physical health diagnosis, sexual orientation, citizenship or immigration status, and data about a known child. We process sensitive data only with your consent, or where the law permits or requires it without consent (for example, verifying work authorization, or providing a reasonable accommodation you ask for). You may withdraw your consent at any time by contacting us.

07Text messages (SMS)
If you give us your mobile number and opt in, we may send you text messages about your inquiry, applications, interviews, assignments, timesheets and account updates, and, only if you separately agree, marketing messages. Consent to receive text messages is not a condition of using our services.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are never shared with any third parties, except service providers that deliver our messages to you. Reply STOP to any message to opt out and HELP for help. Message frequency varies. Message and data rates may apply. See the “Text message program” section of our Terms of Service for full program terms.
08Email communications
If you subscribe to The Hiring Brief or job alerts, or we have a business relationship with you, we may send you emails about roles, hiring insights and our services. Every marketing email identifies RUS Recruiting as the sender, uses accurate subject lines, includes our postal address and contains an unsubscribe link. We honor unsubscribe requests within ten (10) business days, and we do not sell or rent our email lists. We may still send transactional or relationship messages, such as replies to your inquiry or updates about an active application or assignment.
10How long we keep information
We keep personal information only as long as it is needed for the purposes described above. In general: candidate profiles and resumes are kept while they remain useful for matching you with roles, and you can ask us to delete them at any time; Client contact information is kept for the life of the business relationship; and payroll, tax, employment eligibility, equal opportunity and screening records are kept for the periods required by federal and state law. When information is no longer needed, we delete or de-identify it.
11How we protect information
We use reasonable administrative, technical and physical safeguards appropriate to the nature of the data, including encrypted connections (HTTPS), access controls limited to staff who need the information, bot protection on our forms and secure processes for collecting payroll and identity documents. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a security breach affecting your personal information occurs, we will notify you and the authorities as required by law, including Virginia Code § 18.2-186.6.
12Your privacy rights
Subject to the VCDPA and other applicable state laws, you may have the right to:
- Confirm whether we process your personal data and access it
- Correct inaccuracies in your personal data
- Delete personal data you provided or that we obtained about you, subject to legal exceptions and record-keeping duties
- Obtain a copy of your personal data in a portable and, where technically feasible, readily usable format
- Opt out of the processing of your personal data for targeted advertising, sale or profiling in furtherance of decisions that produce legal or similarly significant effects (we do not do any of these)
- Withdraw consent you have given, including for sensitive data
Some recruiting and business-to-business information may be exempt from these laws. Even so, we will honor reasonable requests to access, correct or delete your information wherever we can, subject to our legal obligations.

Requests are free up to twice in any twelve-month period. A parent or legal guardian may submit a request on behalf of a child, and we accept requests from authorized agents where the law allows. We will not discriminate against you for exercising your rights.

13Children's privacy (COPPA)
The Site and our services are intended for adults and are not directed to children under 13. We do not knowingly collect personal information from children under 13, consistent with the Children's Online Privacy Protection Act, and we do not knowingly collect personal information from anyone under 16 through the Site. If you believe a child has given us personal information, contact us at talent@rusrecruiting.com and we will delete it.
14Background checks and screening
Background checks and other consumer reports are obtained only after we give you a separate written disclosure and you authorize the check in writing, as required by the Fair Credit Reporting Act. You have rights under that law, including the right to receive a copy of a report and a summary of your rights before any adverse action is taken based on it. We follow applicable state and local limits on criminal history inquiries, including Virginia's.
